Privacy Policy

What information we collect

• Account and sign-in information: your name, email address, phone number if provided, password credential (stored as a verifier rather than readable text), email-verification status, and account/session identifiers.
• Job-search profile and materials: work-authorization preferences, saved job preferences, résumé files, profile facts you approve, generated or edited application materials, answers, and application progress records.
• Browser-extension information: a browser-device identifier and public key used to pair the extension. The corresponding private key is stored in Chrome’s extension storage on your device. The raw pairing code is not stored; a one-way digest with expiry and consumption metadata may remain until a later pairing attempt triggers bounded cleanup.
• Employer-page information: when you invoke the extension on a supported application form and grant Chrome’s requested site access, it can inspect that page’s address and supported form structure—such as field labels, types, required status, and available options—to determine whether it can help. HireNavo stores a preparation snapshot of the supported form structure and destination identity so an approved action can be matched to the form you reviewed. Separately, the just-in-time readiness check sends HireNavo only a readiness status tied to that application action—not the active page’s field values, credentials, or full live form structure. Normal inspection does not read values already typed into the employer’s fields. After you authorize an action, approved answers are returned to the extension for that matching form. Completion reports contain status and integrity evidence, not the employer form’s answers.
• Technical and usage information: service requests, security and operational events, and limited feature activity needed to run, protect, and troubleshoot HireNavo. The public policy site itself does not include advertising or analytics scripts.

We do not request access to employer passwords or cookies. The extension does not have Chrome’s cookies or web-request permissions. Employer-site access is limited by Chrome permissions and by the extension’s supported application workflows. The signed-in application uses necessary authentication/session cookies; the public static site does not include advertising or analytics scripts.

How we use information

• Create and secure accounts, verify email addresses, and maintain signed-in sessions.
• Find and rank job openings using the preferences you set, and prepare application materials from the facts and files you provide or approve.
• Pair your browser extension, check readiness when you start an application action, and carry out only the review or submission action you authorize.
• Send requested service email, such as verification messages and job alerts you enable.
• Maintain service reliability, investigate misuse, enforce our terms, and meet legal obligations.

HireNavo does not continuously probe employer sessions. A readiness check occurs in connection with an application action you start. Approved answers are provided to the extension for that action; the extension uses them in the matching form. A separate candidate-controlled confirmation is required before the supported submission flow sends an application.

When we share information

We share information only as needed to provide the service, as you direct, or as required to protect the service and comply with law. Current service providers include:

• Cloudflare: hosts and secures the website and application and provides application infrastructure and storage.
• Brevo: delivers account-verification and account-security emails.

Cloudflare may process connection and request metadata, such as IP address, request headers, and timestamps, to deliver, secure, and troubleshoot the website and application.

If you choose to submit an application, the information and files included in that application are sent from the employer’s application form to the employer or its applicant-tracking-system provider. That recipient handles the information under its own privacy notice and practices.

We do not sell personal information or share it for cross-context behavioral advertising. We do not give employers your HireNavo profile or résumé merely because you view a job; information is sent to an employer when you use that employer’s form and authorize the relevant action.

Chrome Web Store Limited Use

Our use and transfer of information received through Chrome extension APIs follows the Chrome Web Store User Data Policy, including its Limited Use requirements. We use that information only to provide the HireNavo features described here and do not sell it, use it for personalized advertising, or transfer it for unrelated purposes.

Storage, security, and retention

HireNavo stores account and application information in its service infrastructure. Résumé and generated-document files may be stored separately from account records. The extension keeps its private pairing key in local Chrome extension storage and keeps approved application values in memory while carrying out the requested action.

We use safeguards designed to protect information, including encrypted connections and access controls. No internet service or storage system can be guaranteed completely secure.

We retain information for as long as needed to provide the service, maintain account and application records, protect security, resolve disputes, and meet legal obligations. Retention differs by record type. You may request access, correction, or deletion using the contact below; some information may need to be retained where law permits or requires it.

Your privacy choices and U.S. state rights

Depending on where you live and which laws apply, you may have rights to request access to or a copy of personal information, correction, deletion, or portability; to opt out of sale, targeted advertising, or certain profiling; or to limit certain uses of sensitive personal information. California residents may have rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act, when the law applies.

To make a request, email info@hirenavo.com from the address associated with your account and describe what you would like us to do. We may ask for information needed to verify your identity or authority. Where applicable law provides an appeal right, you may request an appeal by replying to our decision. We will not unlawfully discriminate against you for exercising a privacy right.

State privacy laws have different coverage thresholds, definitions, exemptions, and response rules. This policy does not determine whether a specific statute applies to HireNavo or to a particular request.

Children’s information

HireNavo is a job-search service and is not directed to children under 13. We do not knowingly collect personal information online from children under 13. If you believe a child has provided information to HireNavo, contact us so we can review and take appropriate action. See the FTC’s COPPA information.

Changes and contact

We may update this policy as the service or applicable requirements change. We will revise the effective date above when we publish an update. Material changes will be highlighted in the service where appropriate.
